Prioritise supplier payments

Generates a prioritized payment queue with 3 urgency levels to help the AP Manager efficiently manage daily payments.

AP Manager⚡ DailyBeginnerRead-only

Ask it like this

Which invoices should I pay first today?

When to use it

At the start of the day or week, to know which invoices to pay first based on urgency and amount.

What it produces

Payment queue sorted by urgency with total disbursement amount, supplier names, and due dates.

How it works

  1. 1Lists overdue invoices, from oldest to most recent
  2. 2Lists invoices due within 7 days
  3. 3Lists invoices due in 8 to 30 days
  4. 4Counts invoices with no due date separately
  5. 5Presents three urgency levels and the total to pay out within 30 days

What protects you

  • This skill only reads: it changes nothing in Spendesk
  • It acts with your permissions and your role, never beyond
  • The assistant cannot approve or pay

# Supplier payment queue

## Purpose

Sort what is left to pay into three levels: overdue, due within 7 days, due in 8 to 30 days. The skill prepares the list; **it pays nothing and schedules no payment** — payment happens in Spendesk.

State today's date as used and the exact bounds of each level before the calls.

## Level 1 — Overdue

```json
{ "tool": "spendesk_get_due_invoices", "params": { "limit": 50 } }
```

Each invoice carries `supplier` (the name), `amount`, `invoiceNumber`, `invoiceDueDate`, `costCenter` and `daysOverdue`. Sort by `daysOverdue`, then by amount.

- Per-bucket totals and `summary.totalOverdueAmount` are in functional currency and cover **all** invoices, even beyond the 50 listed. If `pagination.cursor` is not null, the list is incomplete: continue with that cursor.
- It only covers unpaid supplier invoices with a due date. Expense claims, cards and credit notes are excluded.

## Levels 2 and 3 — Due within 7 days, then in 8 to 30 days

One call per level, changing the bounds:

```json
{
  "tool": "get_payables",
  "params": { "filters": { "operator": "and", "subfilters": [
    { "field": "paymentStatus", "operator": "=", "value": ["toPay"] },
    { "field": "payableType", "operator": "=", "value": ["invoicePurchase"] },
    { "field": "dueDate", "operator": "between", "value": { "from": "2026-10-05T00:00:00.000Z", "to": "2026-10-12T23:59:59.999Z" } }
  ] } }
}
```

- The status value is `toPay` (there is no `unpaid` value). It includes **partially paid** invoices.
- Read what is left to pay in `outstandingAmount` (invoice currency) or `outstandingFunctionalAmount` (functional currency, the only one that can be added up). `amount` is always the invoice's full amount.
- The supplier's name is not in this list: call `get_payable_by_id` on the invoices you present and read `counterparty.name`.
- Page with `cursor` while `hasNextPage` is `true`.

## Invoices with no due date

They appear in none of the three levels. Count them separately:

```json
{
  "tool": "get_payables",
  "params": { "filters": { "operator": "and", "subfilters": [
    { "field": "paymentStatus", "operator": "=", "value": ["toPay"] },
    { "field": "payableType", "operator": "=", "value": ["invoicePurchase"] },
    { "field": "dueDate", "operator": "=", "value": null }
  ] } }
}
```

## Report

```
Payment queue — <today's date>
🔴 Overdue: N invoices — X EUR
   Supplier | Left to pay | Days overdue | Invoice no.
🟡 Within 7 days (<dates>): N invoices — X EUR
   Supplier | Left to pay | Due date
🟢 In 8 to 30 days (<dates>): N invoices — X EUR
   Supplier | Left to pay | Due date
⚪ No due date: N invoices
Total to pay out within 30 days: X EUR (functional currency)
```

## Limits to state

- An approved invoice is not necessarily payable today: this skill does not see invoices still waiting for approval (see the dedicated skill).
- The 30-day total only holds supplier invoices, not expense claims to reimburse.

## Observed result (demo account, 5 October 2026)

11 overdue invoices for EUR 19,095.67, all more than 90 days late, the oldest at 2,095 days. No invoice to pay fell due in the following 30 days.

## Example prompts
- "Which invoices should I pay first today?"
- "Show me my payment queue for the week"
- "How much do I have to pay out in the next 30 days?"
